The Supply Chain Coordinator plays a crucial role in ensuring seamless day-to-day operations across purchasing, logistics, inventory management, and vendor relations. Reporting to the Supply Chain Manager with a dotted line to the Vice President of Product Development, this role supports all aspects of supply chain execution, from purchase order management and shipment coordination to data tracking and documentation.

The ideal candidate is detail-oriented, proactive, and collaborative, someone who thrives on maintaining organization, ensuring accuracy, and keeping cross-functional teams aligned to achieve on-time product delivery and operational excellence.

Requirements

  • Maintain accurate, real-time inventory levels across all sales channels (DTC, Amazon, Walmart); reconcile warehouse and 3PL reports, support cycle counts, and ensure compliance with FDA and cGMP standards.
  • Create and manage POs for raw materials, packaging, and finished goods; confirm delivery timelines, coordinate with Finance for payment alignment, and track supplier performance to ensure on-time fulfillment.
  • Support manufacturing schedules, verify component deliveries, organize production documentation (COAs, batch records), and assist with new product launches to ensure readiness across all facilities.
  • Coordinate inbound and outbound shipments with carriers and 3PL partners, maintain shipment documentation, and monitor freight status to communicate any delays or delivery issues promptly.
  • Update and manage supply chain data in QuickBooks and shared tools; generate weekly status reports, monitor open POs, and assist in supplier performance analysis and KPI tracking.
  • Maintain vendor records, documentation, and communication logs; support vendor onboarding, audits, and compliance document collection.
  • Track and file COAs, batch releases, and compliance records; assist with audit preparation and quality investigations as needed.
  • Serve as a liaison between Supply Chain, Finance, R&D, and Marketing to ensure timely communication, alignment, and support for key initiatives and product launches.
  • Monitor key operational metrics (on-time delivery, accuracy, lead times); identify issues, propose improvements, and support process optimization across supply chain functions.

Qualifications

  • Bachelor’s degree in Supply Chain Management, Business Administration, or related field preferred.
  • 2+ years of experience in supply chain, logistics, or inventory coordination (CPG or e-commerce experience a plus).
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite, Google Workspace, and inventory management tools (QuickBooks or ERP systems preferred).
  • Excellent communication and interpersonal skills for cross-functional collaboration.
  • Knowledge of FDA, cGMP, and general quality compliance standards is a plus.
