Job Introduction

Sodexo is seeking a proactive and organisedFacilities & Events Coordinatortoact as the main point of contact for all meetings and events on site, ensuring a smooth and professional experience for clients, colleagues, and visitors.In this key role, you will uphold all Client andCompany security processes, deputise for the Building Services Manager in their absence, and provide support with a range of ad-hoc operational duties.Flexibility is essential, as you will also assist and provide cover at our other location when required.This is an excellent opportunity for a motivated individual who thrives in a fast-paced environment and is committed to delivering exceptional service.

What you'll do:

  • Deliver a high-quality service to all customers by managing meetings, events, hospitality set-ups, visitor coordination, furniture moves, catering arrangements, and gathering service feedback.
  • Triage helpdesk tickets, manage facilities-related enquiries, support Maximo work orders, assist with stock control, ordering, parcel handling, courier communication, and general site administration.
  • Act as the main point of contact in the Site Manager’s absence, deputising to ensure all site processes are covered, supporting with PO creation, invoice trading, and supervising contractors.
  • Serve as site safety champion, participate in safety calls, log safety reports, support CCTV monitoring, access control, incident reporting, and ensure compliance with Sodexo and client policies.
  • Act as superuser for document catalogues, SEMS, and DMS folders, oversee archiving processes, maintain retention protocols, and ensure compliance documents are accurate and up to date.
  • Provide cover for our Basingstoke location onsite or remotely, support regional management with reports and presentations, and completeadditional reasonable tasks to maintain smooth operations.

What you'll bring:

  • Must be willing to complete SIA security training
  • IOSH qualification is highly desirable.
  • Previous experience within a corporate or pharmaceutical environment is preferred.
  • Strong customer-facing experience, ideally within events or hospitality.
  • Confident in using IT systems including Microsoft Teams, Excel, Word and related applications.
  • Good understanding of security protocols and safety requirements is advantageous.
